Add and Manage Tags

Tags serve two purposes; they can be used as conditions in segment definitions, and they can be applied simply to make filtering the contacts list easier. Not every tag needs to be tied to a segment. This guide shows how to add a tag to a contact record and how to remove tags from a contact.

✏️ If a tag is used as a condition in a segment, Subflow automatically recalculates that contact's segment membership whenever the tag is added or removed. Learn how segments use tags to filter and group patients in the Segments and Tags Guide.

Apply a tag

Tags can be applied to a contact from the contact's details page. If a tag doesn't exist yet, you can create it on the spot:

  1. Select Contacts from the application dropdown in the left sidebar.

  2. Open the contact record in one of two ways:

    • Click the contact's name directly in the list, or

    • Click the three-dot menu in the Actions column for that contact, then select Manage contact.

  3. Click on the details tab to see detailed information about the contact.

  4. Locate the Tags section in the right panel of the contact page, below the Communication preferences section.

  5. Select a tag from the dropdown list. To apply more than one tag, repeat this step for each tag you want to add. If no suitable tag exists, type the new tag name in the search field and you will be prompted to add it to the list of tags. The new tag is added to the system and becomes available for all contacts going forward.

  6. Click Save to create the contact record, or Reset to clear the form and start over.

Remove a tag

Tags can be removed from a contact at any time. Follow the steps below to remove a tag from a contact:

  1. Select Contacts from the application dropdown in the left sidebar.

  2. Open the contact record in one of two ways:

    • Click the contact's name directly in the list, or

    • Click the three-dot menu in the Actions column for that contact, then select Manage contact.

  3. Locate the Tags section in the right panel of the contact page.

  4. Remove the tag you want to delete from the contact, by clicking on the “x” button next to the applied tag.

  5. Click Save to create the contact record, or Reset to clear the form and start over.

Tags are often added and removed automatically by workflows, for example, when a patient takes a particular path through a care workflow. Manually applied tags and automatically applied tags work the same way and can be freely overridden: a tag added by a workflow can be removed manually, and a tag added manually can be removed by a workflow.
